HanAhrt Terms of Service
Effective Date: 14 August 2026
These Terms of Service apply to all services provided by HanAhrt, operated by Hannah Maree Short ("HanAhrt", "we", "us" or "our").
The person or organisation making a booking is referred to as the "Client", "you" or "your".
These Terms are designed to make our booking process, services, responsibilities and event requirements clear from the beginning.
They apply to all HanAhrt services, including private parties, children's parties, weddings, corporate events, festivals, markets, community events, school events, shopping-centre activations, promotional events and other bookings.
These Terms should be read together with your booking confirmation, quotation, invoice and any specific written arrangements agreed between you and HanAhrt.
Nothing in these Terms is intended to exclude or limit any rights or obligations that cannot legally be excluded or limited under New Zealand law.
By confirming a booking, paying a deposit or booking fee, making a payment, accepting a quotation, or otherwise instructing HanAhrt to proceed with your booking, you agree to these Terms.
Bookings & Acceptance of Terms
Enquiries Are Not Confirmed Bookings
An enquiry or request for availability does not guarantee that HanAhrt has reserved your date.
HanAhrt may provide a quotation or provisional booking hold while discussing your event.
A provisional hold may expire if the required booking information or payment is not received within the timeframe specified by HanAhrt.
HanAhrt may accept another booking for the same date once a provisional hold has expired.
Confirming Your Booking
Unless otherwise agreed in writing, a booking is confirmed once:
the required booking fee or deposit has been received;
HanAhrt has accepted the booking; and
any required booking information has been provided.
HanAhrt may require additional information before confirming or providing services where that information is reasonably necessary for planning, safety or delivery of the booking.
Acceptance of These Terms
You accept these Terms when you:
tick an agreement checkbox;
sign or accept a booking agreement;
pay a deposit or booking fee;
make a payment towards your booking;
accept a quotation;
confirm a booking by email or other written communication; or
instruct HanAhrt to proceed with the booking.
If you make a booking on behalf of another person, family, organisation, company or event, you confirm that you have authority to make that booking and agree to these Terms on their behalf.
Pricing & Payment
Quotes & Pricing
Prices displayed on the HanAhrt website may be starting prices and may not include travel, additional time, additional staff, special equipment, accommodation or other event-specific costs unless stated.
Quotes are based on the information provided by the Client.
The price may change if you subsequently change:
- the event location;
- date or time;
- duration;
- number of participants;
- number of artists or performers;
- services;
- package;
- equipment requirements;
- access requirements; or
- other material booking details.
Any material additional cost will be communicated where reasonably practicable before it is incurred.
Booking Fee / Deposit
Unless otherwise stated, a $50 booking fee/deposit is required to secure your booking.
The booking fee/deposit is credited toward the total cost of your booking.
The deposit is generally non-refundable when a Client cancels, subject to any rights that may apply under New Zealand law.
Payment
Private Events
The remaining balance must be paid in full before or at the start of the event unless otherwise agreed in writing.
Festivals, Markets, Corporate & Larger Events
Payment is generally due 7 days before the event, unless another payment arrangement has been agreed in writing.
Payment Plans
Where a payment plan has been agreed, payments must be made by the agreed due dates.
Failure to make an agreed payment may result in services or preparation being paused until the account is brought up to date.
Late Payment
Where an amount remains unpaid after its due date, HanAhrt may charge reasonable late-payment or administration costs where these have been disclosed or agreed and are permitted by law.
HanAhrt may also recover reasonable costs associated with pursuing overdue payments where permitted by law.
Cancellations, Postponements & Transitions
Cancellation by the Client
Unless different written terms have been agreed for your booking, the following cancellation schedule applies:
7 days or more before the event:
The $50 booking fee/deposit is retained. Any additional amount paid will generally be refunded.
Less than 7 days before the event:
50% of the total booking fee may be retained.
Less than 48 hours before the event:
80% of the total booking fee may be retained.
Less than 24 hours before the event:
100% of the total booking fee may be retained.
Cancellation charges reflect the time and resources reserved for your booking, preparation undertaken, administration, staffing commitments and the reduced opportunity to accept alternative work.
All cancellation provisions remain subject to any rights that cannot legally be excluded under New Zealand law.
Postponements
A request to postpone an event is not automatically treated as a cancellation.
HanAhrt will make reasonable efforts to transfer your booking to another available date.
A replacement date is subject to HanAhrt's availability.
A change of date may affect pricing, travel, staffing, performers, equipment or package availability.
If HanAhrt cannot accommodate the requested replacement date, the booking may be treated as a cancellation.
Changes to Bookings
Changes to services, times, locations, participant numbers or other booking details should be requested as early as possible.
Changes are subject to availability and may result in additional charges.
HanAhrt is not required to accommodate changes that would materially affect the safety, timing, staffing or feasibility of the booking.
Services & Service-Specific Terms
HanAhrt provides a range of creative entertainment services. The following terms apply to the relevant services included in your booking.
Face Painting
Face painting is a cosmetic artistic service using products intended for face painting or cosmetic use.
Face painting is generally available for children aged 3 years and over.
HanAhrt may offer a hand or arm design to younger children at its discretion.
HanAhrt may decline to paint a participant where their age, behaviour, skin condition, distress level or circumstances make the service unsuitable.
Signature Face Painting Experience
The Signature Face Painting Experience is designed to provide detailed, high-quality face painting at a comfortable pace.
Any advertised number of faces per hour is an estimate rather than a guaranteed minimum.
Actual capacity depends on design complexity, participant age, cooperation, queue management, event conditions and other circumstances.
Speed Face Painting Experience
Speed Face Painting is designed for events where a larger number of guests need to be served efficiently.
Designs may be intentionally simplified to allow for faster application.
Advertised face numbers are estimates and are not guaranteed.
UV Glow Face Painting
UV Glow services require suitable lighting and venue conditions.
The appearance of UV designs may vary depending on ambient lighting, venue conditions and photography.
Specialised UV equipment may require additional space, power or setup time.
Costume Makeup
Costume makeup is a cosmetic service and is subject to the same skin-suitability, allergy and hygiene requirements as face painting.
HanAhrt may modify a requested design where necessary for safety, time or practical application.
Baby Bump Painting
Baby bump painting is an artistic cosmetic service.
HanAhrt will not knowingly apply products to visibly irritated, broken or unsuitable skin.
Clients should advise HanAhrt of relevant sensitivities or concerns before application.
Temporary Tattoos
Temporary tattoos are intended for temporary cosmetic use.
Wear time varies depending on skin type, placement, friction, bathing, sweating and skincare products.
HanAhrt does not guarantee a particular duration of wear.
Glitter Services
Glitter and cosmetic embellishments are subject to product suitability and allergy precautions.
Please advise HanAhrt of known allergies or sensitivities before application.
HanAhrt may substitute or decline a particular product where necessary for safety.
Balloon Twisting
Balloon twisting involves latex and/or other balloon materials.
Balloons may pop unexpectedly and can present risks including:
latex allergy;
choking;
eye or facial injury;
small pieces of balloon material.
Children must be appropriately supervised around balloons.
Popped or damaged balloons should be removed immediately.
Balloons must not be placed in a child's mouth.
Balloons are not suitable for unsupervised infants.
Custom Balloon Art & Bouquets
Balloon creations are handmade artistic products.
Minor variations in colours, shapes, proportions and individual components are normal.
Specific balloon colours, designs or components may not always be available.
Where a requested component is unavailable, HanAhrt may provide a suitable alternative where reasonably practicable.
Balloon Installations
Where HanAhrt provides a balloon installation, the Client must ensure that:
the venue permits the installation;
adequate access is available;
there is sufficient setup space;
suitable attachment points are available where required; and
venue restrictions have been disclosed.
HanAhrt will not knowingly attach decorations in a way that could reasonably create an unsafe condition or cause avoidable damage.
Performers & Costumed Characters
Costumed and inflatable performers require a safe working and performance environment.
Performers may have limited:
visibility;
mobility;
hearing;
communication;
ability to react quickly to obstacles.
Guests must not:
pull costumes;
push or hit performers;
climb on performers;
sit on performers;
tackle performers;
deliberately obstruct performers;
interfere with costume equipment; or
engage in unsafe physical contact.
Parents, guardians and event organisers are responsible for ensuring guests follow these requirements.
Performer Breaks
Costumed and inflatable performers may require regular breaks, particularly in warm environments.
Performers must have reasonable access to drinking water and an appropriate area for necessary breaks.
HanAhrt may shorten, pause, modify or stop a performance where continued performance would create an unreasonable health or safety risk.
Safety takes priority over entertainment time.
Performer Substitution
If a specific performer becomes unavailable because of illness, emergency or circumstances outside HanAhrt's reasonable control, HanAhrt may provide a suitable replacement performer, character or alternative service where reasonably practicable.
Hosted Games and Activities
HanAhrt provides hosted games and activities as active group entertainment.
Host Role & Supervision
The HanAhrt host facilitates the activity, explains rules and manages the game process.
The host is not responsible for childminding, individual guest supervision or overall event behaviour management.
A responsible adult (parent, guardian or Client representative) must remain present and is responsible for the overall safety and behaviour of participants.
Safety & Behaviour
Activities should be conducted in a safe, cleared area suitable for the number of participants.
Participants must follow the host's safety instructions.
Guest behaviour that creates an unsafe environment or risks injury may result in the activity being paused or stopped.
Equipment
Where HanAhrt provides game equipment, it remains the property of HanAhrt and must be returned in good condition at the end of the booking.
The Client is responsible for ensuring guests treat equipment with reasonable care.
The Client may be liable for the reasonable costs of repair or replacement for equipment deliberately damaged or removed by guests.
Event Requirements
Access & Setup Space
The Client must ensure that the HanAhrt artist or performer has timely and safe access to the event location.
A suitable setup area must be provided, which should be:
- level and stable;
- clean and free from hazards;
- adequately lit;
- sheltered from direct sunlight, rain and wind (unless otherwise agreed); and
- appropriately sized for the service and number of artists.
Failure to provide a suitable workspace may result in service delays or modifications where necessary for safety or product integrity.
Vehicle Parking
The Client is generally responsible for providing or arranging suitable parking for HanAhrt vehicles at or near the venue.
Any parking costs (e.g., parking meters, commercial parking fees) are the responsibility of the Client unless included in the quotation.
Hygiene & Safety
Hygiene and safety are priorities. HanAhrt follows professional standards for product application and equipment maintenance.
HanAhrt may decline to provide cosmetic services (face painting, makeup, tattoos) to any participant who appears to have:
- visibly broken or irritated skin;
- contagious skin conditions;
- conjunctivitis or eye infections;
- severe cold or flu symptoms; or
- other conditions that could reasonably present a hygiene or safety risk.
The final decision rests with the artist.
Queue & Crowd Management
For public, community or large private events, the Client is responsible for overall crowd control and queue management.
HanAhrt will assist in managing the immediate service queue but is not responsible for general event security or behaviour management.
HanAhrt may 'close' a queue before the scheduled finish time to ensure that guests already in the queue can be served within the remaining time.
Child Supervision
HanAhrt artists, performers and hosts are present to provide creative entertainment only.
They are not childminders or babysitters.
A parent, guardian or responsible adult must remain present and is responsible for the supervision, safety and behaviour of all children at all times.
Children, Participants & Supervision
Child Supervision & Responsibility
HanAhrt artists, performers and hosts provide creative entertainment services only. We do not provide child-minding, babysitting or daycare services.
A parent, legal guardian or a designated responsible adult over the age of 18 must be present at the event at all times and remains responsible for the supervision, safety and behaviour of all children and participants.
The HanAhrt artist or host is focused on delivering the creative service and cannot be expected to maintain individual supervision of guests.
Participant Safety & Suitability
Parents or guardians are responsible for ensuring that a child is physically and developmentally capable of participating in an activity safely.
If a participant becomes distressed, uncooperative or behaves in a way that presents a risk to themselves, the artist or other guests, HanAhrt may decline to provide the service or ask the participant to step away from the activity area.
Duty of Care
The Client must ensure that the environment is safe for the number of participants present.
For large public or community events, the Client is responsible for ensuring adequate security and general supervision is in place to allow HanAhrt to provide services safely.
If at any time the artist or performer feels that the lack of supervision or the behaviour of participants creates an unsafe working environment, services may be paused until the issue is addressed by the Client.
Health, Safety, Allergies & Hygiene
Professional Standards & Safety
HanAhrt maintains high standards of hygiene and safety to protect both our artists and participants.
Artists use professional-grade cosmetic products intended for skin application.
All brushes, sponges and equipment are cleaned and sanitised between events according to industry best practices.
Allergies & Skin Sensitivities
Face paints and cosmetic products, even professional ones, can occasionally cause skin reactions or allergies.
It is the responsibility of the Client, parent or guardian to notify the artist of any known skin sensitivities, allergies or reactivities before service.
HanAhrt may perform a small patch test on the inner arm if there is a concern about sensitivity.
HanAhrt will not knowingly apply products to skin that is visibly broken, irritated or showing signs of a condition (e.g. eczema, cold sores or rashes).
Hygiene Precautions
To prevent cross-contamination, HanAhrt may decline to paint a participant who appears to have:
- a contagious skin condition;
- conjunctivitis or eye irritation;
- severe cold, flu or respiratory symptoms; or
- other visible health concerns.
The artist's decision on whether to provide a service in these circumstances is final.
Balloon Safety & Latex Allergies
Balloon twisting involves latex balloons. Clients must advise if any guests have a known latex allergy.
Balloons present a choking hazard, especially when popped. Supervision of children is essential.
Broken balloon pieces must be disposed of immediately.
Some face painting sponges may be made of latex, please let your painter know not to use sponges if you or your dependant may have a latex allergy.
Working Environment
The Client is responsible for ensuring the setup area is safe, clean and free from tripping hazards or overhead risks.
Artists may pause or stop services if the working environment becomes unsafe or if participant behaviour risks injury to themselves or the artist.
Queue & Participant Management
For public, community, or large private events, the Client is responsible for overall crowd control and queue management.

HanAhrt Crew members can be hired as queue managers and to help with crowd control upon request, this may be suggested upon booking.
HanAhrt will assist in managing the immediate service queue but is not responsible for general event security or behavior management.
HanAhrt may 'close' a queue before the scheduled finish time to ensure that guests already in the queue can be served within the remaining time.
Supervision of Participants
A parent, guardian, or responsible adult must remain present to supervise participants at all times. HanAhrt artists and performers are present to provide entertainment and are not responsible for childminding or babysitting.
Right to Refuse Service
HanAhrt reserves the right to refuse service to any participant who is behaving in an unsafe, disruptive, or inappropriate manner, or if the artist feels the environment has become unsafe.
Service Times, Delays & Extensions
Service Time
Service time begins at the scheduled start time or when the artist/performer is ready to begin at the event location, whichever is later.
If the artist/performer is delayed because of Client-related issues (e.g. unsafe setup, delayed access, lack of communication), the scheduled finish time will remain the same unless an extension is agreed upon.
Delays & External Factors
HanAhrt is not liable for delays or interruptions caused by circumstances outside our reasonable control, including extreme weather, property damage, power failures, or medical emergencies.
Service Extensions
Extensions are subject to availability and the performer's energy levels.
Additional time will be charged at the current hourly rate and must be paid as agreed.
Travel & Access
Travel & Fuel Charges
Travel within the immediate Otago area may be included in the booking fee. Bookings beyond a certain distance from HanAhrt's base may incur a travel or fuel fee, which will be specified in your quotation.
Travel is calculated based on distance, time, and current fuel costs.
Access to Venue
The Client is responsible for ensuring that the artist or performer has clear and safe access to the setup area at least 30-45 minutes before the scheduled start time (or as otherwise agreed).
If access is delayed due to Client-related factors, the service time may be reduced accordingly.
Parking Requirements
A designated parking space for the HanAhrt vehicle must be provided at or immediately adjacent to the venue. If commercial parking is required, the costs are to be met by the Client.
If suitable parking is not available, HanAhrt may need to modify the setup or service to accommodate the distance from the vehicle.
Equipment, Property & Damage
HanAhrt Equipment
Where HanAhrt provides equipment, supplies, kits, decor or materials as part of a booking, these remain the property of HanAhrt unless otherwise stated in writing.
Equipment must be treated with reasonable care.
The Client is responsible for ensuring that guests do not interfere with, handle or remove HanAhrt equipment without permission.
Damage to Equipment
The Client may be liable for the reasonable cost of repair or replacement where HanAhrt equipment is damaged, lost or stolen due to the deliberate act, negligence or lack of supervision of the Client, their guests or participants.
Normal wear and tear is excluded.
Property Damage & Liability
HanAhrt takes professional care to avoid damage to venue property.
Face paints and cosmetic products are designed for skin application. While professional products are used, HanAhrt is not liable for incidental staining of clothing, carpets, upholstery or surfaces resulting from the normal application or incidental transfer of products by participants.
Where HanAhrt is required to attach decor or equipment to venue structures, it will do so with reasonable care. However, HanAhrt is not liable for minor marking or damage resulting from standard attachment methods unless the damage was avoidable and caused by HanAhrt's negligence.
Safety Hazards
The Client must notify HanAhrt immediately of any property conditions or hazards that could reasonably affect the safety of the artist, performers or the integrity of the equipment.
Public Events, Festivals, Markets & Corporate Events
For public or commercial events, the Client/event organiser is responsible for matters within their control, including:
event approvals;
permits;
venue permissions;
crowd management;
queue management;
emergency procedures;
general event safety;
appropriate event insurance;
access;
parking;
site conditions.
HanAhrt remains responsible for matters within HanAhrt's own control.
Where another organisation controls or influences the event environment, HanAhrt and that organisation will cooperate on health and safety matters as required by New Zealand law.
Photography, Video & Privacy
HanAhrt may photograph or record:
completed artwork;
balloon creations;
event setups;
performers;
HanAhrt equipment;
general event atmosphere.
Where identifiable people, particularly children, appear in promotional material, HanAhrt will use the applicable consent process where required.
Clients may request that identifiable images from their booking are not used for promotional purposes. Requests should preferably be made before the event.
Privacy
HanAhrt may collect personal information for legitimate business purposes, including:
processing enquiries;
managing bookings;
communication;
invoicing;
payment processing;
event planning;
customer service;
record keeping;
legal and regulatory compliance.
Personal information will be handled in accordance with applicable New Zealand privacy law.
Intellectual Property & Creative Work
HanAhrt retains intellectual property rights in its original:
artwork;
designs;
photographs;
branding;
promotional material;
written content;
package concepts;
event concepts;
creative activities;
templates;
creative systems.
Purchasing a HanAhrt service does not transfer ownership of HanAhrt's intellectual property to the Client.
Client-Supplied Designs
Where a Client provides a photograph, logo, character, design or other material for use in a booking, the Client confirms that they have the necessary rights or permission to provide it.
HanAhrt may decline to reproduce material where doing so creates a legal, safety or professional concern.
Professional Conduct & Right to Refuse Service
HanAhrt is committed to providing a safe and respectful working environment.
HanAhrt may refuse, pause, modify or stop a service where reasonably necessary due to:
- unsafe conditions;
- aggressive behaviour;
- harassment;
- discrimination;
- threats;
- intoxication;
- drug-related behaviour;
- repeated disregard of safety instructions;
- inappropriate conduct;
- participant distress;
- unsuitable venue conditions;
- severe weather;
- equipment failure;
- product availability;
- legal requirements;
- circumstances outside HanAhrt's reasonable control.
HanAhrt may decline designs, activities or requests that are unsafe, unlawful, discriminatory, hateful, sexually inappropriate for children or otherwise unsuitable for the participant or event.
Liability & Client Responsibilities
HanAhrt will be responsible for its own acts and omissions to the extent required by New Zealand law.
Nothing in these Terms excludes or limits liability that cannot legally be excluded or limited.
Subject to applicable law, HanAhrt is not responsible for loss, damage or injury caused by matters outside HanAhrt's reasonable control or by the acts or omissions of the Client, guests, participants, venue or third parties.
This may include circumstances involving:
- unsafe participant behaviour;
- inadequate supervision;
- undisclosed hazards;
- inaccurate information supplied by the Client;
- venue conditions;
- third-party actions;
- misuse of equipment;
- failure to follow safety instructions.
Client Responsibility
To the extent permitted by law, the Client is responsible for reasonable loss or damage caused by their own breach of these Terms, negligence, intentional conduct or failure to meet responsibilities within their control.
Nothing in this section makes the Client responsible for matters caused by HanAhrt's own negligence or other legally actionable conduct.
Indirect Loss
To the maximum extent permitted by law, HanAhrt will not be liable for indirect or consequential loss arising from a booking.
This may include loss of profit, business, opportunity or other consequential costs where legally permissible.
Force Majeure
HanAhrt will not be responsible for failure or delay caused by circumstances beyond its reasonable control.
This may include:
- natural disasters;
- earthquakes;
- floods;
- fires;
- severe weather;
- road closures;
- major transport disruption;
- pandemic or epidemic restrictions;
- government action;
- power failure;
- venue closure;
- serious accident;
- illness;
- injury;
- civil emergency;
- failure of third-party services;
- other circumstances that could not reasonably have been prevented or overcome.
Where reasonably practicable, HanAhrt will communicate with the Client and attempt to provide an alternative date, service or reasonable solution.
Complaints & Dispute Resolution
If you have a concern about a HanAhrt service, please contact us as soon as reasonably practicable.
Where appropriate, please provide:
your booking details;
a description of the concern;
relevant photographs;
relevant correspondence;
the outcome you are seeking.
HanAhrt will endeavour to investigate genuine concerns and work toward a reasonable resolution.
If a dispute cannot be resolved through direct communication, the parties may agree to mediation or another appropriate dispute-resolution process.
Nothing in this section prevents either party from exercising any statutory right or seeking urgent legal relief where appropriate.
New Zealand Consumer Law
HanAhrt operates in accordance with applicable New Zealand law.
Nothing in these Terms is intended to exclude, restrict or modify rights or remedies that cannot legally be excluded, restricted or modified.
Where the Consumer Guarantees Act 1993 applies, statutory guarantees and remedies continue to apply.
Where the Fair Trading Act 1986 applies, nothing in these Terms authorises misleading conduct or attempts to exclude rights that cannot lawfully be excluded.
Where both HanAhrt and the Client are in trade, the parties may agree in writing to contract out of specified consumer-law provisions where New Zealand law permits this and the required legal conditions are satisfied.
General Terms
Changes to These Terms
HanAhrt may update these Terms from time to time.
The Terms applying to a booking will generally be the version accepted when the booking was confirmed, unless a later change is required by law or agreed by the parties.
Severability
If any provision of these Terms is found to be invalid or unenforceable, that provision will be interpreted or modified to the minimum extent necessary where possible.
The remaining provisions will continue to apply to the extent permitted by law.
No Waiver
If HanAhrt does not immediately enforce a provision of these Terms, this does not mean that HanAhrt has permanently waived that provision.
Entire Agreement
These Terms, together with the applicable quotation, booking confirmation, invoice and any specific written agreement, form the agreement between HanAhrt and the Client concerning the booking.
A later written agreement specifically negotiated between HanAhrt and the Client may override these Terms to the extent expressly stated.
Governing Law
These Terms are governed by the laws of New Zealand.
The parties submit to the applicable jurisdiction of the courts and tribunals of New Zealand.
Booking Acceptance & Agreement
By confirming your booking, paying the applicable booking fee or deposit, making a payment, accepting a quotation, or instructing HanAhrt to proceed with your booking, you confirm that:
- you have had a reasonable opportunity to read these Terms;
- you understand the requirements relevant to your booking;
- you agree to the applicable Terms;
- the information you have provided to HanAhrt is accurate to the best of your knowledge;
- you will communicate relevant requirements to parents, guardians, guests, staff and event organisers where appropriate;
- you will provide HanAhrt with information about known hazards, venue restrictions and other circumstances that may affect the safe delivery of the service.
